REMAP is a unique national charity. It brings together two groups of people: volunteers skilled at making things and disabled people who need specialist equipment. Each year, around 3,000 pieces of custom-made equipment help transform the lives of disabled people.

REMAP’s army of ingenious inventors designs and makes equipment for young and old alike and then provides it free of charge. The aim is always to help people achieve quality of life, filling the gap where no suitable equipment is available commercially.

With an exciting new strategy that will continue to place the client at the heart of our work, we seek an experienced charity sector Operations Manager to help us deliver on our mission and vision.

The Role

The Operations Manager's role is critical to the charity's long-term sustainability and is pivotal in ensuring that we remain relevant and necessary.

This is an internally focused role in our service delivery, covering clients' and volunteers' journeys. You will be part of the management team, ensuring the smooth and efficient delivery of our central team's support to our network of branches.

We seek someone passionate about providing a quality service to everyone and who is not afraid to drive change and improvement. Experience in being part of a team delivering a change programme that involves volunteers is essential. You must demonstrate that you are a resilient, strong team player with an eye for detail and excellent people skills. You will thrive in a busy environment and have a positive ‘can do’ attitude.

As a small charity, the role will require balancing practical tasks with strategic planning and management. Building on what has already been done, you will work directly with the CEO and the Strategic Programme & Change Manager to help develop REMAP's operational structure and support its day-to-day operations.

Terms & Conditions

Place of work: Fully remote, with occasional 2/3 nights away for year-round events.

Working Hours: 37 hrs—a minimum of core hours from 10 am to 3 pm Monday through Friday must be met.

Salary: £35,000 – 40,000, dependent on experience

Holiday entitlement: Begins at 25 days per annum, in addition to public holidays.

About You:

1. Proven experience in a leadership role within the non-profit sector, preferably in an international context.
2. Experience in overseeing programmatic and income generation activities, demonstrating the ability to integrate these functions effectively.
3. Proven experience in successfully raising funds from diverse income streams such as grants, donations, sponsorships, events, and partnerships.
4. Experience in managing diverse teams and complex projects across multiple countries and contexts.
5. Proven experience in change management and driving organisational development initiatives.
6. Proven financial management skills, including budgeting, forecasting, and reporting.

About you

We are seeking an organised individual with demonstrable experience in providing professional HR support, and a desire to grow and develop in a varied and interesting generalist role.

You will have a background in HR, and ideally, additional experience supporting in wider business support, such as office administration, IT or operations.

About the role

Reporting to the Head of People, the HR Officer will primarily:

• Act as first point of contact on general HR & operational queries for the staff team and administer relevant files and email inboxes
• Champion staff well-being, delivering our staff well-being events and socials, and supporting in the deliver of new well-being ventures
• Support in the recruitment of diverse and effective staff
• Support in the onboarding, training and development of our staff team
• Ensure that the operations contractors, including, cleaning, IT, security and facilities are fulfilling agreed service levels
• Look to where the People team may further develop and improve its processes and support for the staff team and Society, either to improve their own capabilities or those of other staff

35hrs, Mon-Fri | We are currently running a trial of the 4-day work week; staff can opt to work 32hrs over 4 days each week at no loss of salary.

Duties and key responsibilities: 

Office Maintenance

• Oversee the general maintenance of the office.
• Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
• Ensure the office and meeting rooms are well-maintained.
• Manage Sarcoma UK storage, ensuring it is fit for purpose.
• Liaise with office contractors and service providers to ensure the office runs efficiently.
• Assist with office refurbishments, expansions, and relocations.

Administration

• Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
• Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
• Managing deliveries to the office and organising couriers.
• Organise travel and accommodation bookings across the whole charity including fundraising events.
• Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
• Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
• Provide meeting room management, including bookings and catering.
• Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.

Health & Safety

• Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
• Regular health and safety inspections of the office and workstations.
• Carry out regular DSE tests
• Arranging regular PAT tests
• Cary out fire risk assessments (training will be provided)
• First aid assistance and maintain the first aid supplies (training will be provided)
•  Review and update the health and safety policy.

Other

• Support the operations team when required, this will include finance, database, and HR functions.
• The post holder will be working in a developing environment, and they will therefore be required to undertake other appropriate duties as necessary for the efficient operation of Sarcoma UK.

High Trees are a charity working across 5 thematic service delivery areas and teams (Education and Training, Employment and Careers, Children, Young People and Families, Community Action and Research and Sector Support). All our work is held together by our Operations team, who provide the support and structure that allows all of our service delivery to take place and ensures High Trees as an organisation functions.

We are seeking a skilled Operations Administrator, providing general support across the organisation as a whole, but predominantly working with our Operations team and Co-CEOs to ensure that High Trees remains an effective organisation, able to make the most impact for our beneficiaries. This is a varied and rewarding role which will allow you to build your skills and understanding of how charities operate day-to-day as well as contribute to our governance and strategic ambitions. Your remit will include general office administration; including the admin needed to efficiently manage our offices and community buildings, ensuring our organisational policies and processes are routinely reviewed, updated and implemented; assisting with events; and supporting our governance processes.

You will also carry out the administrative HR functions for High Trees, inducting new staff, maintaining our records on our HR software, facilitating all staff to carry out our mandatory training and helping with the administration of our recruitment processes. You will work with the teams to ensure compliance with our HR policies, procedures and HR paperwork.

In this role, you’ll support the Longview team to effectively deploy over $10m per year to reduce the risk of a major global catastrophe, such as a nuclear war between great powers, an engineered pandemic, or the misuse of advanced artificial intelligence. Your work will enable Longview to operate more effectively and nimbly, and you’ll support a team working on high-impact grantmaking.

Key Information

Role: The Operations Analyst will support our operations, events, executive and grantmaking teams by managing our office, coordinating meetings, setting meeting agendas, and supporting other operations processes within Longview.

Location: London, UK (working full-time from Longview’s East London office). We may be able to sponsor a UK work visa for this position.

Starting Salary: c. £35,000-40,000 p.a. We may be able to offer a higher starting salary, depending on the successful candidate’s experience and skills.

Responsibilities

The Operations Analyst will support the Longview Philanthropy executive, grantmaking, operations, and events teams. Approximately 40% of their time will be spent on office management tasks and 60% on generalist-type operations tasks (depending on the successful candidate’s specific skills and professional development goals):

• Meeting preparation and coordination
  • Creating meeting agendas for senior staff (CEO, COO & Programme Leads) and sharing them ahead of time
  • Scheduling meetings between team members and external stakeholders
  • Organising our monthly all-team meetings
• Managing our London office
  • Keeping the office fridge stocked
  • Maintaining office inventory and equipment
  • Continuously improving our working environment
    • Including helping to scope for new offices, as required
  • Receiving and managing office guests
  • Liaising with our office provider (Fora)
• Remote office management
  • Assisting our remote staff with their local office spaces, including finding suitable offices and liaising with the providers
  • Assisting staff with equipment orders
• Collating materials from across the org to support the executive, grantmaking, events and operations teams
  • An example of this might be collating testimonials on our events for future invitations, or collating public and Longview-specific information on a potential or existing donor
• Supporting staff where needed with smaller tasks, examples might include ordering items for staff and registering for events on their behalf
• Administering and troubleshooting key shared systems, for example, 1Password, Asana, Slack, Calendly, Zoom, AirTable, and Notion
  • Moderating these platforms and enforcing communications and sharing norms
• Managing our general enquiries email inbox and triaging emails to ensure they receive an appropriate response
  • Logging general job applications in our database and responding as necessary

Possible duties, depending on the candidate:

• Helping administer hiring rounds
  • Communicating with candidates
  • Managing the candidate pipeline and applicant tracking system during the hiring process, as well as the logistics for work tests, trials and interviews
• Supporting our IT infrastructure
  • Updating the website
  • Conducting basic cybersecurity tasks
• Working with our Data Manager to keep our CRM up to date by tracking key interactions

The successful candidate will initially report to Katie Hearsum, COO, though management may eventually move to another member of the operations team, and ideally would be able to start in July 2024.

The Head of Operations and Development (HOD) will play a pivotal role in taking our work to its next stage, helping us deliver even greater impact across our community.

You will also be expected to get up to speed quickly with various aspects of the Centre’s business functions, including finance, IT and marketing.

Key responsibilities:

To be responsible for the effective delivery of services in the communities we serve.

• Manage all aspects of operational performance of the services in line with KPI expectations.
• Accountable for the leadership, line management responsibility and operational direction of the service delivery teams.
• Take financial responsibility for the service delivery budgets through annual budget setting, monthly reviewing, and quarterly reforecasting. 
• Continually develop and review operational KPIs to ensure they drive performance and align with our strategic ambitions. ­­­
• Ensure the customer experience is measured, monitored and delivered with the expected values and behaviors across all teams.

To effectively lead, collaborate and influence to contribute to the success of Robin Cancer Trust and its people.

• Engage the teams with the vision, purpose, and strategic objectives of Robin Cancer Trust.
• Contribute to the development of strategy, business planning and prioritisation activities.
• Be an active member of the Senior Leadership Team and deputise for the CEO as needed.
• Attend and contribute to monthly board meetings.

We’re looking for a part-time Senior Operations Manager with extensive operational, business, Health & Safety, IT and HR experience. A member of the Senior Management Team, this person will play a vital role in enabling Time & Talents to deliver our strategy, maintain best practice and develop robust long-term plans.

What we do

Time & Talents is a lively, busy community centre in the heart of Rotherhithe, SE16.  Set in a leafy heritage building, and ‘T&T2’, our second venue in Surrey Quays Shopping Centre, we offer something for everyone. With a history of 137 years of supporting people of all ages in Rotherhithe and Bermondsey, we bring people together for mutual support, fun and friendship with a wide range of services and activities for older people and other adults, along with volunteering and children and families’ projects.

T&T has grown substantially over the last 5 years, and we are in an exciting time for the charity. We are reviewing our long-term aims and changing local needs to ensure  programme delivery continues our extensive track record of positive outcomes. We also need to review our current contracted provision and best practices in the charity’s business and operations.

We are strengthening our offer whilst staying focused on our aims: ensuring that everyone feels part of a community and that no one is isolated or lonely. We are looking for a fresh pair of eyes to help us maintain best practice in our work.

The role

In this role, you’ll:

• Hold responsibility for T&T’s internal business and operations functions
• Motivate and manage the operations team
• Contribute to the wider organisation as a member of the Senior Management Team
• Act as Deputy Safeguarding Lead for the organisation

About you

You are passionate about the power of community to connect and support people.  You have a track record in driving the excellent delivery of grant-funded community programmes in the third sector.  You have demonstrable experience in charity finance, leadership and internal operations.  You’re an emotionally resilient and experienced leader with a growth mindset and plenty of grit.  You’re flexible, accountable, take responsibility, are highly organised and skilled in multitasking and balancing priorities.

The role

The Operations Administrator will support the Ada Lovelace Institute in the management of processes relating to finance, human resources, grants, and information administration.

The role will build strong relationships with the Nuffield Foundation’s HR, Finance and IT functions to help ensure shared processes are administered. Additionally, the Operations Administrator will work closely with staff across Ada, making sure it is a collaborative and supportive place to work.

About you

You will have experience of previously working in administrative roles, and have knowledge of office systems and processes. You will enjoy working with teams and be comfortable of working with a range of people across multiple workstreams. You will have excellent organisational and planning skills, be comfortable juggling different tasks and be a confident communicator.
